How to Send Documents
Send invoices, quotations, and receipts from Pricefic by email, WhatsApp, or SMS, with the right format, payment link, preview, and reminder settings.

Overview

Pricefic lets you send invoices, quotations, receipts, and other supported documents directly from the document editor or from a saved document.

Depending on the sending options available for your account, you can use:

  • Email with a PDF attachment or public payment link
  • WhatsApp with a PDF attachment, image, or public payment link
  • SMS with a public payment link

You can preview the message, send a test to yourself, and configure automatic reminders without leaving the sending window.

Before You Send

Check the document and its recipient details before opening the send options:

  • Add the customer's email address when sending by email
  • Add the customer's mobile number when sending by WhatsApp or SMS
  • Enter mobile numbers in international format, such as +447700900123
  • Review the customer name, document number, total, due date, and payment methods
  • Make sure you have enough Pricefic credits for the send

If you are creating or editing a document, you can correct the customer details from the editor. From a saved document, the Edit button beside the recipient takes you to the customer record.

Opening the Send Options

To send a saved document:

  1. Go to Documents.
  2. Open the invoice, quotation, receipt, or other document you want to send.
  3. Click Share.
  4. Select Share via Email, Share via WhatsApp, or Share via SMS.

You can also use Share while creating or editing a document. Pricefic saves your latest document changes before sending it.

The sending window opens with your chosen channel selected. Leave Send now turned on to deliver the document immediately.

The channels shown in the Share menu depend on the sending features currently available for your account.

Sending by Email

Email uses the customer's saved email address. After selecting Share via Email:

  1. Confirm the email address shown in the sending window.
  2. Choose an Email format:
    • PDF Attachment includes the document as a PDF file.
    • Payment Link gives the customer a link to view and pay online.
  3. Review the message preview.
  4. Choose a reminder option if needed.
  5. Click Send, or Save and send if you are still creating or editing the document.

The Payment Link format is available only when Enable public payment link is turned on.

Sending by WhatsApp

WhatsApp uses the customer's saved mobile number. The number must include its country code in international format.

After selecting Share via WhatsApp:

  1. Confirm the mobile number shown in the sending window.
  2. Choose a WhatsApp format:
    • PDF Attachment sends the finished document as a PDF.
    • Image sends a mobile-friendly image of the document.
    • Payment Link sends a link the customer can open online.
  3. Review the WhatsApp message preview.
  4. Choose a reminder option if needed.
  5. Click Send, or Save and send if you are still creating or editing the document.

If Payment Link is not listed, turn on Enable public payment link first.

Sending by SMS

SMS is shown only when it is available for your account. It sends a short text message containing a link to the document rather than attaching a PDF or image.

To send by SMS:

  1. Select Share via SMS.
  2. Confirm the customer's mobile number.
  3. Turn on Enable public payment link.
  4. Click Send, or Save and send while creating or editing.

The customer's mobile number must use international format. SMS does not include the preview-to-self or automatic reminder options available for email and WhatsApp.

Using a Public Payment Link

Turn on Enable public payment link when you want the customer to open the document online without signing in.

This setting is required when:

  • You select Payment Link for email or WhatsApp
  • You send the document by SMS

Anyone with the link can view the public document, so share it only with the intended customer and trusted contacts.

Sending a Preview to Yourself

Before sending by email or WhatsApp, turn on Send as preview (to me only) to check the delivery on your own account.

  • Email previews go to the email address on your Pricefic profile
  • WhatsApp previews go to the mobile number on your Pricefic profile

Use Edit beside the preview recipient if you need to update your profile details. A preview is a real send and uses the credit cost shown in the sending window.

Setting Up Automatic Reminders

Email and WhatsApp support automatic resend reminders. Choose one of these options in the sending window:

  • No reminders
  • 3 days after the due date
  • 1 week after the due date
  • Every week on Monday
  • Every month on the 1st

Make sure the document has the correct due date before selecting a due-date reminder.

To save a reminder without sending the document now, turn off Send now, choose the reminder schedule, and click Save reminder. You can open the document later and use Modify to change its reminder settings.

Each reminder uses the credit amount shown in the sending window when it is sent.

Credits and Document Status

The sending window shows the credit cost before you confirm. When you create or update a document and send it in the same action, the cost breakdown may include both saving and sending costs.

After a customer delivery is processed successfully, a draft document moves to Sent. You can return to the saved document to review its status and activity.

Troubleshooting Sending Problems

  • The send button is disabled: Add the required customer email address or mobile number.
  • The mobile number is rejected: Use international format beginning with + and the country code.
  • Payment Link is missing: Turn on Enable public payment link.
  • SMS or WhatsApp is not in the Share menu: That channel is not currently available for your account.
  • A preview has no recipient: Add an email address or international mobile number to your Pricefic profile.
  • A due-date reminder is not useful: Confirm that the document has the correct due date.
  • Pricefic reports insufficient credits: Add credits and try the send again.
